Learn how to streamline content production by setting asset validation rules, tracking uploads, managing required files throughout a campaign, and more.

How does the Asset Validation functionality work? Will it not let the client upload if the assets are wrong?

Asset Validation is an optional feature that allows you to configure pre-set rules i.e., format, sizes, etc, so it will not let the client upload “Required Assets” if they do not meet the specifications you have set.

Advertisers can also upload assets or files with no rules against them to the “General Asset section”.

Can the Advertiser access the Asset and File section when a Campaign is already in production? How?

Yes, your Advertisers can view and edit the Files and Assets at any time via the Asset and File Tab.

They are able to add assets, and when they do, they will be visible and accessible to you and your team.

Does the Asset and File upload section remain open throughout the campaign process?

Yes, the Asset and File Tab is open and functional throughout the campaign. Every person assigned to the campaign (apart from Advertiser Viewers) have the ability to add and edit the assets inside the "Asset and File" tab.

This is the section to go to to add media after you’ve completed your Campaign Briefing Form.

Once the Campaign Briefing Form is approved, Advertisers can't edit it any longer. Please note that you, the Publisher, can edit the form at any time, even after it’s approved. This ensures you have control over the information of the campaign, while still allowing assets to be uploaded at any time.

Will anyone get an Email Notification if a Client/ Advertiser uploads an Asset mid-production?

Yes, when a new file or asset is uploaded, you’ll receive an Email Notification letting you know there has been an update.

How do I follow-up if an Advertiser hasn’t uploaded all of their required assets?

Your Advertisers will have multiple opportunities to upload any required assets. This includes inside the Campaign Briefing Form, any time via the Asset and File Tab, and within the Content Submission Forms.

As required assets are mandatory to upload, and the content workflow will pause before the ‘Approved’ stage and notify you and your Advertiser if any required assets are still pending.

If your Advertiser cannot produce the required asset, you can upload it yourself. Or, you can turn off the Requirement and allow the content to proceed to Approved with general assets.

Tip: You can set a custom To-Do's for your Client to upload assets and files. Alternatively, you can also use your regular comms channels, such as email, to follow up with the client.

My required asset specs have now changed. How do I update this on PubSuite?

Setting the requirements for specific assets occurs at the Product level.

You’ll need to head to your Management Console and navigate to your Publisher Profile. From there, click ‘Manage Products’ and select the Product you want to update.

You’ll then be taken to the Product Edit form, and within the Primary or Supplementary tabs, you can toggle "Asset Validation" on/off, or update the specs.

Once you click "Save Changes", these will be the new requirements for this product whenever it is added to a new campaign.

Please note that only certain User Roles have the permissions to make configurations to Products. For more information on Roles, visit this guide.
