What if there are users within my Advertiser team that don't have logins to the platform? For example, a legal team reviewing content?
What if there are users within my Advertiser team that don't have logins to the platform? For example, a legal team reviewing content?
Yes. If you have stakeholders such as a Legal team who doesn’t have a login to PubSuite, they can still review and edit content through a Public Editing Link.
This feature is available in Campaign Manager and enables Campaign Managers or Content Managers to generate a secure, shareable link that provides out-of-platform users with access to a specific piece of content.
Key Details:
No login required: Recipients can access and edit content directly without needing a PubSuite account.
Live sync: Any changes made through the link are automatically reflected within the platform - no need to manually re-enter edits.
Content-specific only: Public Editing Links only allow access to the specific item shared. Recipients cannot view or access other areas or campaigns.
Share is manual: These links must be manually shared by the assigned Campaign or Content Manager.
How do I add another round of review for a content piece beyond the default workflow?
How do I add another round of review for a content piece beyond the default workflow?
To add an extra round of review for a content item:
Navigate to the Content Tab in your campaign
Locate the content piece you want to update and click "Manage Content"
Open the Distribution List and click "Edit"
Scroll to "No. Of Feedback Allowed" and adjust the value as needed
Save your changes
The new round will apply immediately, and any associated To-Dos and notifications will be updated accordingly.
How can I exclude the Advertiser from reviewing content?
How can I exclude the Advertiser from reviewing content?
You have full control over whether or not the Advertiser is included in the content review process.
When setting up your campaign in the Campaign Form under Campaign Set Up, you’ll be asked whether Advertiser Access should be turned ON or OFF.
If OFF, advertisers won’t see any part of the campaign in-platform
If ON, you can still control visibility per content piece
To exclude an Advertiser from reviewing a specific piece of content:
Go to the Content Tab
Click into the content item and select "Manage Content"
Navigate to the Distribution List
Click "Edit", then change Advertiser Review to "No"
This ensures the review stays internal and won’t trigger any external notifications or tasks to the Advertiser.

How do I exclude the Content team from reviewing a specific round?
If you only want to exclude the Content team from reviewing a specific round, you can also manually change the Distribution Status to reflect the correct step in the workflow if needed.
If you’d like to bypass internal content reviews for a campaign across all rounds:
Simply do not assign any Content Managers to that campaign in Campaign Manager.
This means the Content Editor will create the content and send it directly to the Campaign Manager for progression, skipping the Content review step.
This is ideal for fast-turn campaigns or when editorial oversight isn’t required.
What is the process to share a URL preview of content with my client?
What is the process to share a URL preview of content with my client?
Within every Content Submission Form, there is an URL field (Optional) to add a preview link. When this is present, your team and Advertisers can click the URL and see a preview of the content.
Can I set different reviewers for different types of Content within the same Campaign?
Can I set different reviewers for different types of Content within the same Campaign?
For Advertiser Reviewers:
Approvers and Viewers are applied at the campaign level.
This means all advertiser-side reviewers will receive every piece of content submitted for that campaign.
Internal Reviewers (Content Managers):
You can assign different reviewers internally for different content types.
This is managed using Workflow Builder, which allows custom routing of content types to specific Content Managers based on rules you define.
To update your workflows or enable Workflow Builder, please contact your PubSuite Client Success Manager.
How do I track the status of each review round?
How do I track the status of each review round?
Each content item has a visible status label, which updates automatically as it progresses through the review workflow. These statuses also trigger relevant To-Dos and Email Notifications, keeping you informed of the current step.
When reviewing content, you'll also see a summary at the top showing:
The current review round
The total number of rounds
If you're on your final round, you'll see a notification message reminding you. If more rounds are needed, head to the Distribution List to add them.
The status of each content piece can also be tracked across:
The Forecaster timeline
The Content tab in the campaign
The Distribution List, which shows the number of review rounds configured (see below)
How do I send content for Advertiser review?
How do I send content for Advertiser review?
The workflow has been configured accordingly to automate this process. As a default, once a content is drafted by the Content Editor, the Campaign Manager reviews the content and submits it to the Advertiser, which automatically updates the status to “Advertiser Review”.
Please note that this can be dependent on the workflow configuration. You might have requested workflow adjustments in the setup process, so it might not always be the default process.
Can I automate reminders for pending reviews?

To-Dos are automatically created to manage pending reviews and to remind users to complete their tasks on time. You can also set yourself a custom to-do manually. For more info, check this guide.

What happens if a review round is not completed by the deadline?
What happens if a review round is not completed by the deadline?
This depends on your Campaign Settings, specifically Forecaster.
Forecaster has two settings to manage the dynamic timeline creation and updating process. These are Restricted or Flexible:
When the setting is set to Restricted, the system calculates available time for each task and adjusts it if and when users are late to deadlines. If there is no longer any available time left and your campaign is at risk of not meeting the firm's live date, the Campaign Manager will receive an urgent alert to update the timeline dates
When the setting is set to Flexible, the system calculates dates, absorbing the overdue time and updating the new date for the deadline to be the next available date (the next day). All subsequent To Do's will also update, pushing everyone’s tasks back until the overdue task is completed.
For more information, read our [Forecaster guide].

How do I control access so only relevant Advertisers see certain content during review?

Can I revert to a previous version of content if new feedback is not suitable? Can I access old versions of the content?
Each content piece will have a version history functionality whereby you can see what has taken place through the process.
For article content, PubSuite uses an embedded In-Line Text Editor, which you can revert to a previous version at any time.
For all other formats, you will need to update the version manually. However, for images and videos, each asset you upload will be kept in the Content Submission Form. Simply swap to a previous version by selecting ‘Use this media’ and the relevant asset attached will be added to the Content Submission Form.
How do I check comments that have been closed?
How do I check comments that have been closed?
All comments and revision requests - open or resolved - are retained within the Content Submission Form, so nothing gets lost.
For article content using the In-Line Text Editor:
Click “Comment History”
A panel will appear on the right-hand side displaying the full thread of comments, including any that have been resolved or closed
This ensures full visibility for both internal teams and advertisers across all review rounds.
