Guide: Content and Distribution Statuses

Understand what each status means across your campaign lifecycle.

Content Status Explained

Each content item moves through defined Content Statuses based on where it sits in the production and review workflow.

These statuses are automatically updated as tasks are completed.

Status

Description

Planning

The initial stage where content has been approved for drafting. During this phase, content briefs are automatically generated and can be edited before being sent to creators.

In Progress

Active stage where work is being completed on the content including initial drafts, reviews and feedback.

Partial Live

Some content has been published or made available, but not all parts or aspects are live.

Live

Most, if not all, of the content pieces are published and live on their relevant cites.

Cancelled

Content has been cancelled and will not proceed further. Once cancelled, the content no longer generates any automation from PubSuite including To-Do's, automated reporting, and email notifications. Content will also automatically be marked as 'Cancelled' if the associated campaign is cancelled.

On Hold

Content is temporarily paused, awaiting review or further action before proceeding. Users can manually resume content at any time by adjusting the 'On Hold' status.

Distribution Status Explained

Each Distribution Item (i.e. individual output tied to a product - such as an article or Instagram post) also moves through a series of statuses, showing you where it is in the distribution pipeline.

Status

Description

Planning

Users can review and edit the brief and mark it ready for production once satisfied.

Ready For Production

Users submit the brief for production.

In Production

Content Editors draft content and submit.

Internal Review

Internal member reviews and feeds back on the draft optional.

External Review

Advertiser Campaign Team member reviews and feeds back on the draft.

Feedback Review

Internal Campaign Manager checks the feedback left by the advertiser and makes any corrections/adjustments

Pending Revisions

Content Editor updates the draft to reflect feedback and submits

Approved

All necessary users have approved content

For Scheduling

Assigned internal user and adjusts the live date and time, plus other admin tasks such as Tracking links etc.

Scheduled

No action required, but must have all required fields met to move to Sent Live, system checks for live date and updates, and scheduled distribution to live whose date is equal to or has passed

Sent Live

The Distribution is live.

Cancelled

The Distribution has been cancelled and will not proceed further. Once cancelled, the distribution no longer generates any automation from PubSuite, including To-Do's, automated reporting, and email notifications. Content will also automatically be marked as 'Cancelled' if the associated campaign is cancelled.

On Hold

The Distribution is temporarily paused, awaiting review or further action before proceeding. Users can manually resume distributions at any time by adjusting the 'On Hold' status.
