Check Your Default Representatives

Default Representatives are the contacts assigned to receive new brief notifications for your organisation.

To check who is currently assigned:

  1. Log in to your Avid PubSuite account.

  2. Click your name icon to access your organisation's settings.

  3. Locate the Joined Marketplaces section and click Marketplace Reps.

  4. Review the users currently assigned to receive new brief notifications.

Make sure the appropriate team members are assigned so new brief opportunities reach the right people. You can allocate specific reps to individual accounts as well, we recommend having at least two people as ‘default reps’ to receive all notifications and ensure no briefs are missed.

Add Additional Default Representatives

You can assign additional representatives to ensure new brief notifications are received by more than one person in your organisation.

  1. Navigate to the Default Representatives section.

  2. Click Edit Default.

  3. Open the dropdown menu to view available users.

  4. Select the additional team members you want to receive new brief notifications.

  5. Click Save to confirm your changes.

Adding multiple representatives helps your team stay informed about new opportunities when someone is unavailable or away.

Review and Update User Roles

If a team member does not appear in the Default Representatives dropdown, you may need to review their assigned user roles in the Management Console.

  1. Navigate to your organisation's user management settings and click Members.

  2. Find and select the relevant team member.

  3. Review their current user roles and permissions. Assign the user role of Commercial Manager and Account Manager to anyone responsible for receiving briefs.

  4. To update their roles, click Edit, navigate to User Roles and tick the appropriate role(s).

  5. Click Update to save your changes.

Once updated, return to the Default Representatives section and check whether the user is now available for selection.

Note: User roles determine which features and responsibilities a team member can access. Ensure the appropriate permissions are assigned before making changes. One user can have many roles.

Add Avid PubSuite to Your Safe Senders List

To help prevent new brief notifications from being filtered into your spam or junk folder, add the following email address to your email provider's Safe Senders or approved contacts list:

The steps may vary depending on your email provider, but generally you can:

  1. Open your email settings.

  2. Locate your Safe Senders, Approved Senders or email filtering settings.

  3. Add [email protected] to the list.

  4. Save your changes.

You can also check your Spam or Junk folder for previous Avid PubSuite notifications and mark them as Not Spam if necessary.

What To Do If You're Still Not Receiving Notifications

If you've completed the steps above but are still not receiving new brief notifications, double-check that:

  • Your account is included in the Default Representatives list.

  • Your user roles and permissions are correctly configured.

  • Notification emails aren't being redirected to your Spam or Junk folder.

  • [email protected] has been added to your Safe Senders list.
