Guide: Brief Manager FAQ’s

This guide answers common questions about using Brief Manager, including how to manage responses, communicate with Media Owners, and make decisions on brief responses.

1.Who receives my brief when I hit send?

When you reach the Generate Briefs stage, you can send briefs to:

  • All selected Media Owners at once if you’ve chosen Uniform Settings to All, or

  • Individual Media Owners if you’ve customised settings per Media Owner

In both cases, the Media Owner’s key contacts will be notified by email when a new brief is sent.

2. What happens after I submit my brief?

Once submitted, your brief is shared with relevant media partners. They’ll review it and upload their response by the due date. If flexibility has been specified, they may take this into account when preparing their response, but should let you know via the Noticeboard.

Once responses are submitted, you’ll be able to review and compare them to see which best fits your campaign goals. The AI feature in Brief Manager also supports this by analysing each response and recommending options based on audience, objective and cost efficiency.

3.What’s the difference between “Exact” and “Tiered” budgets?

An Exact budget means you’re providing a fixed amount for the campaign. Media Owners should tailor their response to align with this budget.

A Tiered budget gives Media Owners flexibility to propose different ideas at a range of budget levels. This allows you to compare options and choose the approach that best fits your campaign needs.

You can also indicate whether your budget is confirmed:

  • A Confirmed budget means the budget is fixed and will not change.

  • An Unconfirmed budget means the budget is still being finalised and may change.

4. What are “Response Mandatories”?

Response Mandatories are the key elements you require Media Owners to include in their response.

These help ensure you receive consistent and comparable proposals, making it easier to review and decide between Media Owners.

For example, you may request items such as a content approach, mock, or audience targeting details.

5. How will I know if a Media Owner accepts my brief?

You’ll be notified via the Noticeboard when a Media Owner accepts your brief.

You can also track this directly in Brief Manager using the Status column. Once accepted, the status will update to reflect that the Media Owner is working on their response.

6. Can Media Owners see what was sent to other Media Owners?

No, Media Owners cannot see what has been sent to other Media Owners. Each Media Owner only receives and has visibility over the brief and any details shared directly with them.

This means responses are submitted independently and there is no visibility into other Media Owners’ budgets, ideas, or proposals.

7. Can I view previous versions of a response?

Yes, you can view all previous versions of a publisher’s response.

To do this, go to the Responses tab within your brief. From here, you’ll be able to see the full history of responses from each publisher, including any updates or revisions they’ve made over time.

This helps you easily compare versions, and understand how responses have evolved based on your feedback.

8. How do I communicate with Media Owners after submitting my brief?

Use the Noticeboard to ask questions, share updates, and keep all communication in one place.

Select the Media Owner’s name to make your message visible to them, or choose Internal to communicate with your team only.

You can also select a topic to categorise your message, making it easier to search and filter later.

To access the Noticeboard, open your brief and click the Noticeboard tab.

9. Can I edit my brief after submitting it?

If you need to update your brief, share the details via the Noticeboard. This allows you to clearly explain what needs to be changed and ensures Media Owners are aligned on the latest information.

10. How do I know when Media Owners have responded?

You’ll be notified via automated updates in the Noticeboard when responses are submitted.

You can also track progress directly within Brief Manager using the Status column:

  • Awaiting Response - media partners are still preparing their submission

  • Response Submitted -the response is ready to review

11. How do I review and compare Media Owner responses?

Open each response within Brief Manager under My Briefs by clicking “View Response”.

From here, you can review and compare responses to see which best aligns with your campaign goals. The AI feature also supports this by analysing responses against your brief, including content alignment and cost efficiency.

12. How do I change my decision on a response?

To update your decision, open the response, navigate to the Outcome tab, and click “Revise Outcome” to update your selection (won or lost).

You can also add feedback at the bottom of the page. It’s best to share this via the Noticeboard as well to keep all stakeholders aligned.

13. What if I need to share additional information after submitting my brief?

Share any additional details via the Noticeboard to ensure Media Owners have everything they need.

When posting, select the most relevant topic:

  • Critical Brief Update - for important changes that may impact the strategy

  • Additional Detail - for smaller updates

14. Who can see my messages in the Noticeboard?

Visibility depends on your selection when posting.

Choose a Media Owner to make your message visible to them, or select Internal to keep communication within your team. Each media owner has their own tab on the left-hand side.

You can also filter by Media Owner or internal to view specific threads.

15. How do I make sure my message is seen quickly?

All updates in the noticeboard are shared via email, so nothing is missed. Change the topic to “Critical brief update” to flag urgency.

16. How do I send feedback to Media Owners on their response?

To request changes, use the Noticeboard during the In Review stage. Share clear feedback here so media owners can review and action updates directly.

For final feedback, use the Outcome tab after marking a response as won or lost. This helps media owners understand what worked and where to improve.

17. Can I select more than one Media Owner?

Yes - you can select multiple Media Owners. This can help you reach different audiences and test different content approaches.

18. What should I consider when choosing a Media Owner?

Consider how well each response aligns with your campaign goals, target audience, and overall strategy. Review the proposed campaign approach, media inclusions, and how effectively it delivers against your objectives.

You can also use the AI recommendation feature to help guide your decision based on audience fit, content alignment, and cost efficiency.

19. How can I add team members to view my briefs too?

You can provide the email list to the support team, please email [email protected].

  • Email address

  • Job title

  • Which advertisers they require access to
